They there, jean40! Welcome to the forums! <img src='http://forum.agilebits.com/public/style_emoticons/<#EMO_DIR#>/smile.png' class='bbc_emoticon' alt=':)' />
Mainly, [url="http://help.agilebits.com/1Password3/tags.html"]Tags are useful for creating Smart Folders[/url] for organizing and sorting your many 1Password items. They are completely optional. I don't use them for everything I save in 1Password, but for example I have some for bills so that I can easily find the sites I use monthly to do my finances. <img src='http://forum.agilebits.com/public/style_emoticons/<#EMO_DIR#>/smile.png' class='bbc_emoticon' alt=':)' />Flag 0 -
I have question, or perhaps complaint, more rightly, about tags. I like using the tags. But, to me, the tag should be the entire tag, not portions of it. For example, I have several financial accounts that I want labeled 'Financial Accounts'. I have others I want labeled 'Financial Research'. And I have still others that I want labeled 'Financial Payments'. Under the tag list, they are all separated. But under the folder list, they are all jumbled up together, apparently because of the word 'Financial'.
And what is the point of having two lists, tag and accounts? Shouldn't we be able to decide whether we wanted one or the other or both?Flag 0 -
Hey Deb,
I'm a bit confused when you mention that you have tags listed under the FOLDERS heading. Tags are only listed separately. Have you perhaps also created folders independent of the tags which happen to share similar names? Perhaps I am not understanding what you mean. Could you provide a screenshot so I can see what it is you are referring to?
In my own data file, I don't really use folders (except for Smart Folders which show up in purple). They are listed separately from folders.

Every item will exist in a single VAULT. That is where it "really is". The tags are just notations on the actual items (which exist in the VAULTS at the top of the list).
The main benefit of tags is that an item can have multiple tags and can only exist in a single folder.
Consider the real world analogy. If I have a document, I can put those cut colored tags all over it. There really isn't a limit to it. Those are tags. I can only place the document in a single folder at a time, though. Likewise in 1Password.
If you can provide some additional information about what you are trying to accomplish and/or what trouble you are having, I'm sure we can get things sorted out for you. <img src='http://forum.agilebits.com/public/style_emoticons/<#EMO_DIR#>/smile.png' class='bbc_emoticon' alt=':)' />

My screen shot looks a lot like yours, I just can’t figure out how to get it to paste in here. So to use your example, you have ‘credit’ and ‘finance’ folders. Pretend the ‘credit’ folder was actually ‘finance credit’. In my folders, 'finance credit’ and ‘finance’ passwords would all show up in ‘finance’. So if I had 5 accounts for ‘finance credit’ and 4 accounts for ‘finance’, under ‘finance’ I would have 9 accounts listed, even though I only wanted the 5 accounts related to 'finance credit’-only listed there, apparently because of the word ‘finance’, even though the tags are actually ‘finance credit’ and ‘finance'. Under the ‘finance’ only tag, I would have only the 4 accounts that did not have the additional tag of ‘finance credit’.
In addition, about 90% of the time, the smart folders (purple ones) are empty, but the passwords are listed in the tag folders.
Thanks for your help!Flag 0 -
Hi Deb,
Thanks for following up. Better later than never I say. <img src='http://forum.agilebits.com/public/style_emoticons/<#EMO_DIR#>/smile.png' class='bbc_emoticon' alt=':)' />
You can attach a screenshot by clicking the "More Reply Options" button underneath the input box.
[img]https://img.skitch.com/20111215-ewj3by6pf6a24q4rami73b3ync.png[/img]
Then use the "Choose File" button to select the image you want to attach. [b]Don't forget to click the "Attach This File" button[/b] before you click "Add Reply". That should do it.

It isn't strictly necessary, but as they say, "A picture is worth a thousand words." That could be they key to unlocking this mystery.
You referenced the tags in my screenshot but called them folders, so I think we may not be on the same page. The screenshot will really help.
[quote]In addition, about 90% of the time, the smart folders (purple ones) are empty, but the passwords are listed in the tag folders.[/quote]
The Smart Folders will only contain what you tell them to contain based on the search criteria. A screenshot of the search criteria could be very useful if you don't mind posting one of those as well along with an explanation of what you are trying to have it do. Perhaps we just need to tweak the search criteria to match your expectations more closely.Flag 0 -
Okay, this isn’t working. I don’t know how to take a screen shot and post it into this forum. I have the screen shot on my computer, but it will not post. Regardless, you say that tags are separate from folders and they are. However, if you have a folder named ‘Financial’, you can put a tag in the name of ‘Financial’ and it will list that folder under the tags. For example:
FOLDERS
All
Automatic Payments
Bill Payments
Financial Accounts
Financial Research
Professional
TAGS
Untagged
Automatic Payments
Bill Payments
Financial Accounts
Financial Research
Professional
The above is what mine looks like, pared down for brevity sake. So I have my ‘Financial Accounts’ tagged as ‘Financial’ and my ‘Financial Research’ tagged as ‘Financial Research’. But because of the word ‘Financial’, both types of accounts appear in the tag list for ‘Financial Accounts’ and for ‘Financial Research'. Financial Accounts and Financial Research both show up under each, instead of separated out.
In addition, under the ‘Folders’ list, NOTHING shows up under ‘Financial Accounts’. The accounts show up under the ‘Tags’ list, though. Now that is the only one that does that. Under ‘Automatic Payments’, ‘Bill Payments, ‘Financial Research’, ‘Professional’ and every other folder, everything shows up. Just under ‘Financial Accounts’ is everything missing in the folder list, but present in the tag list.Flag 0 -
I'm sorry, but I'm not certain that I understand what your trouble is. Could you please describe in as much detail as possible the steps you are taking, and what you are [not] seeing happen? What is the outcome you are looking to achieve?
Why are you creating duplicate tags and folders rather than sticking with just one or the other? I think the problem is the confusion that is coming from using both. There is no need to use both.
Please let me know. I'm getting more confused as to how I can help you, but I still really want to. <img src='http://forum.agilebits.com/public/style_emoticons/<#EMO_DIR#>/smile.png' class='bbc_emoticon' alt=':)' />Flag 0 -
Okay, there are two issues. The first issue is that (as shown above, but pared down even more), I have financial accounts and financial research. They are NOT the same. In financial accounts, I have things like my bank, my investment bank, my mortgage bank. In financial research, I have things like Morningstar, MSN Money and Motley Fool. Financial research is not banks or money. Financial research is research. But because it has the word ‘financial’, it gets listed in both. Now, if I have to live with that, I will, but I think it shouldn’t be.
FOLDERS
All
Financial Accounts
Financial Research
TAGS
Financial Accounts
Financial Research
The second issue is also one I can live with, but I don’t understand. In my Folders, none of my financial accounts show up. They show up in the financial accounts under Tags. This is the only folder that doesn’t show the correct (or any) accounts that should be there.
Honestly, two sets of lists (Folders and Tags) seem redundant.Flag 0 -
[quote]By the way, thank you for being so patient with me. I know I’m a trial![/quote]
It is my pleasure to help. Sometimes it can take a moment for things to "click" where one or both of us have an "Aha!" moment, but I love those so much that they are worth the wait. <img src='http://forum.agilebits.com/public/style_emoticons/<#EMO_DIR#>/smile.png' class='bbc_emoticon' alt=':)' />
[quote]And my love for 1Password is still absolute. I even got my brother on-board with it. [/quote]
So cool! Thanks for the kind words and for sharing 1Password with your brother. We really appreciate it!
[quote] But because it has the word ‘financial’, it gets listed in both. [/quote]
Help me understand what you mean when you say "it gets listed in both." What is "it" and what do you mean my "both"? Both what?
[color=#282828][size=4][quote]Honestly, two sets of lists (Folders and Tags) seem redundant. [/quote][/size][/color]
I think you really hit the nail on the head with that statement. I was trying to make that point earlier, but perhaps I didn't do a good job. There is genuinely no reason to use both folders [b]and[/b] tags. I would urge you to just use one or the other to avoid all this confusion. To add items to folders or tags, simply drag them from the list and then drop them on the folder or tag name in the sidebar.
I would recommend only using tags. To do this:
1. Make sure all the items you expect to be listed in each tag are in fact listed there.
2. Drag items on top of the tag names in the sidebar to tag them as needed.
3. Once all the items are properly listed under each tag, delete the folders. Right-click on the folder name and select "Delete".
4. If prompted, select "Move Items to Unfiled" so that the items are not moved to the trash but simply removed from that folder.

The goal is to have no folders which are duplicating your tags. There is simply no need, and I think it is just causing confusion for you.
Please let me know how it goes!Flag 0 -

Hmmm, I need to think about this and practice it. I think that you are right and I was thinking that I had to have both. I’m going to play with this in the next day or two (am not able to do so now) and I’ll let you know how it goes. Maybe I was just making things more complicated for myself!
Thank you, Khad!Flag 0 -
I like the flexibility that tags offer since one item can be marked with multiple tags. Folders are conceptually simpler (i.e. each item can be located in one and only one folder at a time) but because of this they are not as flexible.
Either folders or tags, though. It doesn't matter too much. I would just not recommend [b]both[/b] in Deb's case. <img src='http://forum.agilebits.com/public/style_emoticons/<#EMO_DIR#>/smile.png' class='bbc_emoticon' alt=':)' />
There is no technical limitation to using both. It just adds a needless layer of complexity. That is fine for "Power Users", but there is not a reason to use both for most folks.Flag 0 -
I'm glad that works for you. Thanks for letting me know! <img src='http://forum.agilebits.com/public/style_emoticons/<#EMO_DIR#>/smile.png' class='bbc_emoticon' alt=':)' />
