Folders - unassigned

<div class="IPBDescription">Question</div>I'm new to 1Password, having taken the plunge and bought a multi platform licence, and now have it installed on my Macbook Pro, and Windows PC plus I have the iPhone app. So far loving it, and I feel much more secure for having regenerated my pretty simple (and often repeated for different sites) passwords.



Quick question - and I think I'm just being thick here:



I understand the vault concept, with different parts to the vaults - Logins, Secure Notes etc. What is the "Folders" section for though? Is it just a way for a user to set up and distinguish different "types" of entity? Currently, all mine are sitting in the "Unassigned" folder. Is the idea, for example, that I could create a folder called "Forum logins" and moved all my forum logins to that folder?

    There are a few different ways to manage your data, but none are essential to using 1Password. I don't use folders at all since I love the speed of 1Password's search. It sounds like you have a pretty good grasp on the concept of folders, though. They are just way way of grouping related items together just like folders on your desktop.



    We have had some discussion on the [url="http://forum.agile.ws/index.php?/topic/3776-tags-vs-folders/"]different uses for folders vs tags[/url], but it really just comes down to personal preference.

    Thanks - I have grouped into folders. Even though they are not an essential requirement, I get a bit obsessive about stuff lying around that's "unassigned", when there is a way that it can be used.

    Many 1Password users are very meticulous about their data — perhaps part of the reason they began using 1Password in the first place! I completely understand. The latest version of 1Password (3.6) actually removes the "Unfiled" Smart Folder by default and allows users to recreate it if they desire. This took some pressure off some folks to get the "Unfiled" Smart Folder down to zero items while still allowing others who desire its functionality to recreate it. <img src='http://forum.agile.ws/public/style_emoticons/<#EMO_DIR#>/skype_smile.png' class='bbc_emoticon' alt=':-)' />

    I have a few follow-up questions to this discussion about folders.



    I see that I can drag an item to a folder. How do I delete an item only from the folder? I tried using Delete, and it appears to send the whole login to the Trash, not just the folder item.



    I see a whole list of "Password for xxxxx" items in my All folder. I don't recognize the passwords for some of them, and don't even recognize the site for some. What are they, and where did they come from?



    I have a bunch of items in the Imported/Firefox folders? I don't need to keep track of them any more. Can I just delete the Folders?

    Hey Dave,



    To remove an item from a folder simply drag it from FOLDERS to VAULT.



    To remove a folder simply press the Delete key on your keyboard while it is selected. For the items contained within the folder you are deleting, you will be given the option to "Send Items to Trash" or "Move Items to Unfiled".



    The "Password for [example.com]" items are Generated Passwords.



    In order to promote good password hygiene 1Password will generate a strong password for you whenever you fill an Identity. You can also generate them manually at any time from within the browser or the main application.



    They do no harm in the Generated Passwords section, and you can delete them if you wish. The Generated Passwords section is intended to be a safety net, though, so [b]we recommend leaving the items intact[/b]. You can disable its display in the sidebar if it bothers you (Preferences > General > Display in Sidebar > Generated Passwords). It is completely separate from your Logins which are actually displayed in your browser(s). You can also create a smarter Smart Folder that includes all unfiled items but does not list Generated Passwords.

    If anyone knows about an abundance of generated passwords cluttering up a data file, you can be sure that we at AgileBits do (with all the testing we constantly perform)! There are too many to worry about. I treat it like my Gmail archive. I never look at it, but I can search it if I ever need to. And I have certainly needed to once or twice after I thought I had saved a login but hadn't. Saved my bacon on more than one occasion.



    I hope that helps explain the situation a bit better. Please let me know if you have any additional questions or concerns.

    One other relating to the answer above. I have a Firefox folder within an Imported folder. Many of those logins are still in use, and are in my Logins Vault; others are obsolete but I think still appear in Logins. If I Delete the folder and Send Items to Trash, will they disappear from the Logins Vault? If I Move Items to Unfiled, I assume 1Password will generate an Unfiled folder, as I don't currently have one? Sounds like the 'safe' thing to do is Move Items to Unfiled?

    If you delete and send to trash, they will no longer be in your vault. If you delete and don't send to trash, they will be removed from the folder itself, but not from your vault.



    An "Unfiled" smart folder will not be automatically created. Chances are, you already have a few items that are unfiled which would show up in there if you create it yourself, though.

  • Okay, I'm getting very confused on the folders. Initially, I tried to make folders and place certain logins in them. For example, I had a folder titled 'Financial' and a folder titled 'Payments'. But a few items qualified as both and I wanted them in both folders for ease in access and to keep me from forgetting something, i.e. forgetting to make a payment to something that was in the Financial folder. Then I discovered Smart Folders and tags. Voila! It seemed to solve my problem as I could put two tags on those items that needed to be in both folders. It was my understanding was that once they were in folders, that they would disappear out of my Unfiled Folder, but they haven't. As a result, it is a very laborious process to go through all my items and see which ones have been filed into an appropriate folder and which ones have yet to be filed into an appropriate folder. Am I missing something? I would prefer to not have an Unfiled Folder, at all, and that everything goes into an appropriate folder. (Yes, I'm obsessive.)

    Hey DebCC,



    If you are running the latest version of 1Password, you can delete the Unfiled Smart Folder. It is not built into the application, so you can remove it like any other folder. To transition from folders to tags, you can simply create a tag, select all the items in the related folder, and then drag them onto the tag in the sidebar. Once all the items are tagged, you can remove the folder and simply use the tag.

  • That helps, but I am still concerned that I will miss something while tagging. I think I've tagged everything, but they are all still there in the Unfiled folder. I have so many different things in 1Password that I fear thinking something is tagged and finding out later, when I need it, that it isn't. I wish when they were tagged they would disappear from the Unfiled folder and just show up in the folder with the appropriate tag.

    Use the "Untagged" which is the tags equivalent of the "Unfiled" folder (which only pertains to whether an item is in a [i]folder[/i] or not).

    Items which are already tagged will not, by definition, show up in the "Untagged" folder. Once that folder is empty, you will know you have tagged everything. <img src='http://forum.agile.ws/public/style_emoticons/<#EMO_DIR#>/skype_wink.png' class='bbc_emoticon' alt=';-)' />

  • Well, I can't get it to do what it was doing the other night in trying to delete the entire program. But neither can I get it to delete the 'Unfiled' folder. I thought maybe that I had to delete what was in it, but that just deleted everything that was already tagged, as well.



    Another problem I'm having is that sometimes when I open 1Password none of the folders will show anything in them. It's so weird. The folder will be there, but it will be apparently empty. If I close it and come back later and reopen it, the items will be back in their folders.



    According to 1Password I have the most recent update.

    To delete the smart folder simply right click on it and select delete.



    To address your other issue, please launch 1Password and select Help > Troubleshooting > Clear Cache

  • Well, that is not helping. I have a Mac. I have tried right-clicking and nothing happens. I've tried double-tapping and delete is there, but it is grayed out and not clickable. Next?

    It appears that the usual solutions are not working for you at all. In situations like this it is helpful to get a better understanding of your system.



    To help us track down the issue more quickly, could you please email us your Diagnostics Report? To generate the report from 1Password on your Mac, open 1Password and select Help > Troubleshooting > Diagnostics Report. Then attach the entire file to an email addressed to support@agilebits.com.



    Please include a link to this thread in your email message so that we can "connect the dots."



    Please do not post your Diagnostics Report in the Forums!

    No the report does not reveal passwords, actually you can generate it and then look thru the report if you wish just to make sure for yourself.



    The reason we ask that you not post it to the forums is that it does include some identifiable info like machine name, user account name, etc



    But the report does not in any way compromise the security of your passwords.



    To look at the report simply double click it and it will open in Safari.

  • Okay, guys, I finally sent my diagnostics. Sorry I'm so slow about it.



    By the way, despite my minor problems, I absolutely LOVE 1Password! I use it on my Mac, iPad and iPhone and will never go back to the old way of managing passwords. I have stronger passwords and I don't have to remember a single one of them! (Well, okay, the master password. <G>)

    One more question. I have suddenly lost all my entries listed in 'Folders'. They are all there under 'Tags'. I've tried rebooting and clearing the cache without success. I just bought a new computer yesterday and had everything migrated over, so I'm sure that is the problem, but I don't know how to fix it.



    [s]Edited to say, never mind about that last paragraph. I rebooted once more and all the entries are back where they belong. <G>[/s]



    Edited again to say that the mystery deepens. I just realized that the entries are only missing in one folder. All the other folders are correct. But that one folder (all my financial accounts) are missing in 'Folders' and present in 'Tags'. Strange.

    I'm sorry for any confusion, DebCC, but after looking over your Diagnostics Report (thanks!) I see you're running a much older version of 1Password than what is being describing here. In your version, the "Unfiled" smart folder cannot be removed. The same is true of "All" and the "Untagged" smart folder. Because you're still running Leopard on your Mac, the version of 1Password that you are running is the last version available for that operating system.



    We provided for removal of some of these sidebar items in our later versions exactly because they can be confusing to some customers.
  • When I would check 1Password, it would tell me "You are running the latest version of 1Password". I just checked again and got the very same message. Yet, I cannot delete 'Unfiled' to this day.



    And, as I said in my previous post, I bought a new computer a couple of days ago and now have a new problem, too.



    I got your email, too, and I will tell you that I'm so very impressed with 1Password's customer service!
